Responsibilities
DUTY 1/Mission 1

Selection and Recruitment of seconded officers:

  • Provide information and assistance to candidates, Staff Members, Hiring Managers and National Administrations in regards to the recruitment and selection procedure of seconded officers.
  • Ensure that rules, procedures and administrative formalities are observed in the process.
  • Draft circulars and arrange for them to be published by appropriate means.
  • Organize and participate in the selection of candidates (sort CV's, convene selection panels and invite candidates for interviews and tests, inform candidates of the outcome of the recruitment process, etc.)
  • Draft official correspondence in regards to the selection and recruitment of seconded officers (selection letters, regret letters, replies to information requests, etc.)
  • Manage and update information workflows and databases.
  • Administer any other recruitment related formalities pertaining to seconded officers.

DUTY 2/Mission 2

Administration of the Organization's Internship programme:

  • Provide general guidance and advice to candidates and Intern supervisors in regards to the approval, selection and recruitment of Interns in the Organization.
  • Prepare Internship longlists for submission to the relevant supervisors.
  • Provide selected Interns and supervisors with all relevant information/documentation in line with the relevant policies and ensure all the formalities are in place in preparation of interns' arrivals.
  • Induction of Interns on their reporting dates.
  • Ensure Interns' files are completed and up-to-date at all times.
  • Input data and maintain relevant databases.
  • Maintain and disseminate regular reports and statistics as needed.
DUTY 3/Mission 3

Assistance to the Head, Talent Acquisition and Mobility Branch:

  • Assist the Head of Branch in the framework of different HR-related Projects.
  • Provide input and participate in different discussions on HR-related matters.
  • Input and prepare different reports and/or statistics.

DUTY 4/Mission 4

General Administration:

  • Drafting of official correspondence.
  • Follow up on deadlines.
  • Producing meeting minutes.
DUTY 5/Mission 5

  • Perform any other duties as may be required.

RequiredQualifications
Only professional experience for which candidates can provide official proof of employment will be considered. Candidates are informed that prior to interviews/test they will be asked to provide copies of such official documents. All candidates will be assessed on the under mentioned requirements.

Training/Education required

  •  A University degree of at least two year duration in a relevant area (Human Resources, Public or Business Administration, International Relations, etc.)
Languages

  • Professional fluency in English, both in oral and writing.
  • Knowledge of any other of the Organization's official languages (French, Spanish or Arabic) will be considered an additional asset.
Experience required

  • A minimum of three years' professional experience in an administrative support function, preferably in the area of Human Resources Management.
  • A minimum of five years' professional experience in the area of Human Resources Management if the candidate does not possess the required level of education.
  • Experience in an International Organization would be an additional asset.

Specific aptitudes required

  • Experience in working with computers including proficiency with the Ms Office (or similar) suite.
  • Knowledge and experience with an electronic talent acquisition/management software is required.
  • Conscientious and efficient in meeting commitments, observing deadlines and achieving results.
  • Very good communication skills, including the ability to explain complex issues to persons of different backgrounds, cultures and perspectives.
  • Excellent interpersonal skills, demonstrated ability to work in a multicultural environment.
  • Skillful in identifying and responding to clients' needs and establishing and maintaining effective relationships with internal and external stakeholders.
