Description
The incumbent's main function is considered as managing all administration issues/ duties, and providing assistance to General Director.
Responsibilities
- Responsible for day-to-day office operations and procedures;
- Receive all general incoming calls, faxes, letters, invitations, e-mails and ensure their on-time distribution to the appropriate party within the Company;
- Distribute all correspondence to the appropriate parties;
- Arrange travels: tickets, visas, embassy packages and accommodation reservation for all abroad trips;
- Collaborate to maintain the Director's calendars, coordinate and schedule meetings;
- Distribute "fuel coupons"; make the monthly reporting on and ordering of fuel;
- Make monthly expenses reports to General Director;
- Welcome and greet all visitors of General Director;
- Make the presentations for meetings and write the memos;
- Manage the purchases of office consumables for all branches; make sure the availability in the storage;
- Ensure the approval/ confirmation of all received invoices;
- Translate documents if needed;
- Produce documents, briefing papers, reports and presentations;
- Fulfill other job-related tasks of General Director.
RequiredQualifications
- Higher education;
- At least 2 years of work experience in Administration in an international environment;
- Previous work experience as an Office Manager is a plus;
- Excellent knowledge of English and Russian languages;
- Good skills in computer applications;
- Positive personality with strong interpersonal skills;
- Highly motivated, energetic, hard-working, disciplined and confident personality with a high sense of responsibility;
- Strong organizational skills;
- Strong professional ethics and presentation skills;
- Flexibility and stress-resistance;
- Ability to deliver accurate work within strict deadlines.
