Responsibilities
- Provide a comprehensive secretarial and administration service to the CEO across the range of his work;
- Manage diary and schedule meetings and appointments;
- Plan, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
- Book and arrange travel, transport and accommodation;
- Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
- Support in administrative operations of office management and logistics;
- Translate required materials from Armenian into English/Russian and vice versa․
- Miscellaneous tasks to support CEO, which may vary according to the sector and to the manager's remit;
- Process purchase requisitions / orders within purchasing authority
- Establish and negotiate contract terms and conditions, and maintain supplier relationships
- Work with internal and external stakeholders to determine procurement needs, quality, and delivery requirements
- Administer contract performance, including delivery, receipt, warranty, damages and insurance
- Maintaining the office condition and arranging necessary repairs
- Organize office operations and procedures
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
- Liaise with facility management vendors, including cleaning, catering and security services
RequiredQualifications
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors
- Expert level written and verbal communication skills
- Excellent time-management skills, ability to manage multiple tasks and deadlines;
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Emotional maturity
- At least 2 years' of work experience in a similar position and ability to work with high level executives;
- Bachelor's degree required
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point)
- Excellent knowledge of written and spoken Armenian, English and Russian languages;
- Adherence to higher working ethical standards (honesty, dedication, responsibility and innovative thinking)
