Description
The Administrative Assistant/ Personal Assistant to General Director is part of Zeppelin Armenia LLC Head Office Administrative Department/ team. The incumbent's main function is considered as managing all administration issues/ duties, such as handling incoming calls, receiving and distribution of all general correspondence and preparation of documents.

Responsibilities
- Welcome and greet all visitors at all levels of seniority;
- Direct them to the correct location for their meetings. If necessary, ensure their hospitality;
- Receive all general incoming calls, faxes, letters, invitations, e-mails and ensure their on-time distribution to the appropriate party within the Company;
- Distribute all correspondence to the appropriate parties;
- Ensure that all necessary registration is kept for the incoming correspondence as a log book;
- Manage all necessary filling/ archiving for both electronic and hard copy versions;
- Arrange travel, ticket booking, visas, appropriate documents and accommodation reservation for all staff business trips;
- Distribute "fuel coupons";
- Make monthly reports on "fuel coupons" distribution;
- Make purchases of office consumables as per direct supervisor's approval;
- Receive all purchases;
- Keep all goods in the storage and ensure the quantity of goods in the storage;
- Distribute all goods to recipients according to their requests;
- Ensure the approval/ confirmation of all received invoices;
- Submit all finalized, signed and stamped invoices/ documents to the related party and ensure the official receipt;
- Keep both electronic and hard copy version of invoices/ documents for further use;
- Prepare the distribution list for all centralized purchases and notify/ send to the head of the appropriate department,
- Maintain "key-log" for the Head Office and keep the extra key for each and every lock for emergency cases;
- Fulfill other job-related tasks assigned by the immediate supervisor;
- Organize all business trips of the General Director; book tickets, hotels, pick-up and transfer;
- Deal with incoming calls, email, faxes and posts;
- Translate documents;
- Maintain and make appointments;
- Produce documents, briefing papers, reports and presentations;
- Fulfill other job-related tasks of the General Director.

RequiredQualifications
- Higher education;
- At least 2 years of work experience in Administration in an international environment;
- Previous work experience as Personal Assistant to General Director is a plus;
- Excellent knowledge of English and Armenian languages; knowledge of Russian and German languages will be considered as an advantage;
- Good skills of computer applications: 1C and MS Office;
- Positive personality with strong interpersonal skills;
- Highly motivated, energetic, hard-working, disciplined and confident personality with a high sense of responsibility;
- Strong organizational skills;
- Strong professional ethics and presentation skills;
- Flexibility and stress-resistance;
- Ability to deliver accurate work within strict deadlines.
