Description
Consecoard LLC is looking for a Secretary/ Office Manager to work for the Support Programme for Protected Areas – Armenia (SPPA-A). Under the overall supervision of the International Team Leader, and reporting to the National Deputy Team Leader, the incumbent will actively support:
- Planning for communications and education;
- Overall project management;
- PIU administration;
- Preparation of reports and workshops.

Responsibilities
- As a PIU member, assist in the day-to-day implementation of Project activities;
- Coordinate, support and carry out the implementation of planning activities, implementation modules and Project management tasks as outlined above;
- In particular, provide support in:
a) Planning communications and education activities;
b) Overall project management and administration, including financial management;
c) PIU administration and office management;
d) Reporting (including financial reporting);
e) Organisation of workshops and other meetings/ events;
- Ensure proper office running and related payments, careful handling of cash and non-cash transactions, and systematic filing of documents (e.g., agreements, decisions, official submissions (reports, plans, etc.), no-objections, approvals, requests, responses to inquiries, results of meetings and official correspondence);
- Maintain a comprehensive and up-to-date register of all PIU office assets, and prepare and facilitate the formal handover of these assets to the EA in accordance with the Consultant's ToR;
- Support PIU members in scheduling activities, arranging appointments, handling visitors, making work-related reservations (accommodation, etc.) and bookings (flights, etc.), arranging transport, and in running an efficient reservation system for the PIU car(s);
- Assist in keeping track of financial transactions between GITEC-IGIP HQ and PIU, payments made in support of PIU running and maintenance (including cars: PIU cars or rented), time provided and travel by PIU staff and medium and short-term specialists (i.e., copies of time sheets) and related expenses (i.e., copies of expense bills);
- In case workshops and other meetings/ events need to be organised by the PIU, arrange venues, facilities, documents, catering and payments;
- Assist in editing and finalising project reports and correspondence (this may also involve translations between Armenian and English languages and vice versa);
- Assist in reproducing and distributing project reports, documents and other information;
- If necessary, accompany PIU staff and/ or visiting medium and/ or short-term specialists during official meetings and field visits (this may also involve interpretation between Armenian and English languages and vice versa);
- Work closely with the other members of the Consultant's team and, as required by project implementation, consult and coordinate with MoNP/ MoNP's Project Director and stakeholders in the project area;
- If necessary, provide assistance to external evaluations and reviews;
- Carry out other project related tasks which might reasonably be requested by the International Team Leader/ the National Deputy Team Leader.

RequiredQualifications
- University degree;
- At least 5 years of professional work experience in a similar position with a strong track record of secretarial and office management work;
- Previous experience with international cooperation projects in the development cooperation sector would be a strong asset;
- Excellent command of both English and Armenian languages (written and oral);
- Strong computer (MS Office, internet) and typing skills;
- Mature personality as well as professional attitude, demeanor and appearance allowing the incumbent to represent the project with dignity both internally and to outsiders;
- Highly organized person;
- Ability to cooperate and work well with the other team members for the interest of overall project success;
- Integrity, reliability and rigor as a solid foundation to managing the PIU resources with a high level of responsibility;
- Ability and willingness to maintain close, service-oriented and transparent working relationships with MoNP and their regional and local branches, national and international partners, public authorities, and external service providers;
- Interest and readiness in pursuing professional development opportunities within the scope of the Project.
