Description
The Receptionist will perform reception and secretariat services in GIZ Country Office on a daily basis. The main responsibilities include phone and reception services as well as support to the office manager.

Responsibilities
- Liaise with customers in a service-oriented manner on behalf of the office by providing a professional phone service, personally welcoming visitors and maintaining a high standard in the reception area;
- Ensure incoming and outgoing calls are efficient and uninterrupted;
- Perform reception and secretariat services on a daily basis;
- Create and/ or regular update the contact lists (telephone, fax, email, etc.);
- Sort and distribute incoming correspondence (email, fax and other official documents);
- Distribute and accept documents and packages to/ from the post office, government institutions, embassies, etc.;
- Manage the mail registration book;
- If needed, translate simple texts;
- Coordinate the office driver's work;
- Follow up the usage of water and office materials and order if necessary;
- Translate the logbook of the office car, calculate the fuel consumption;
- Procure tickets and hotel reservations;
- Manage the meeting room reservations;
- Coordinate the IT-expert's visits;
- Support the office manager in event organisation.

RequiredQualifications
- Higher education;
- At least 1 year of professional experience in a comparable position;
- Politeness and helpfulness in dealing with visitors;
- Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management;
- Willingness and ability to work in a multinational environment;
- Flexibility and sound organizational skills; an ability to work quickly under pressure and juggle multiple tasks;
- Excellent analytical, communication, problem-solving and team-working skills;
- Fluency in written and spoken Armenian and English languages; knowledge of German language is an advantage;
- Good working knowledge of ICT technologies (related software, phone, fax, email and Internet) and computer applications (e.g. MS Office);
- Knowledge of office management systems and procedures.
